Car wash equipment quotes: water and site questions to resolve first

A practical checklist for comparing supplier answers. Record your own dated evidence before using figures in a plan.

A car wash equipment price becomes easier to compare when every supplier answers the same questions about the wash format, water system and site work. Start with a description of your intended operation, then ask for the supporting documents. Keep an unanswered question blank rather than borrowing a figure from another site.

Describe the wash you are quoting

Tell suppliers whether the proposal covers self-service bays, in-bay automatic equipment or both. Name the wash packages and explain how customers pay. Ask which components, controls and optional services are included. A maximum equipment throughput is a capacity specification; it does not establish how many customers will complete a paid wash.

Ask what the water figure measures

Request the manufacturer's documented fresh-water use for the quoted configuration and wash package. Ask whether the figure is per completed cycle, per minute or a connection requirement, and which operating conditions it assumes. An inlet flow specification alone is not water consumption per wash.

For a reclaim system, ask which wash stages use reclaimed water, what treatment is included and what maintenance is required. EPA's WaterSense guidance discusses vehicle-wash configurations and water-management practices. Use it to frame questions; do not turn a benchmark or a supplier's headline saving into a universal saving for your site.

Resolve the site connections and discharge route

Ask for a written schedule of electricity, water supply, drainage and other connection requirements. Separate equipment installation from excavation, utility connections and site preparation. Mark who supplies each item, what the quote excludes and which requirements remain unanswered.

Identify the proposed wastewater destination and request the relevant local authority's written requirements for that location. EPA explains that local limits are developed for individual publicly owned treatment works. A supplier specification or a general guide does not determine your site's discharge conditions or permission to operate.

Compare dated offers on the same basis

Request an itemized offer with its date, validity, currency, taxes, freight, installation, commissioning, warranty and maintenance scope. Put exclusions beside the quoted amount. When a document is missing, note the gap and ask for it before comparing totals. Keep sales evidence separate from equipment capacity

If you are assessing an operating site, request period-matched paid-wash counts and payment records. Keep failed cycles, refunds, membership or package receipts and self-service top-ups identifiable. Record the period and evidence behind each figure. A forecast based on rated capacity is still an assumption until supported by customer and operating evidence.
