Set Up an Evidence Handoff Before You Open a Workbook

A spreadsheet makes typing a number easy and gathering evidence slow. If you gather evidence first, every figure you type already has a source and an owner. The workbook then becomes a place to record what you found, not to guess.

Step 1: Give every input an owner

Before you open the file, list the figures you will need to replace and who can supply each one: a supplier, a landlord, a utility, or your own records. If you use another package, a plain list does the same job.

Step 2: Find the placeholders first

Professional documents its example assumptions, with source classes, in Annex A of the report. That shows you which inputs are illustrative placeholders, so you know what to replace first. The offer is explicit that an illustrative assumption is a sample input, not a verified value for any site. It also says a source reference does not confirm that a value is current for your location.

Step 3: Label each piece of evidence

Note each item as a quote, a published source or your own estimate, with a date and a short note. Where you have nothing yet, call it unknown. Do not write zero in its place. The Quick Check uses this same discipline, and it says empty is not zero.

Step 4: Enter values in the yellow cells only

On the Inputs sheet you edit only the yellow Your value cells in column D (home page). Leave everything else as supplied.

Step 5: Read the status line before the results

The Results sheet opens with a status line, and the Checks sheet confirms that inputs are complete and inside their allowed ranges. The published sample shows the status line as Input checks: all passed. Those checks do not show that your inputs are realistic. Only your evidence does that, and that is why the handoff comes first.

Using the workbook and its results

The report remains a fixed St. Petersburg, Florida reference case when you change the workbook. The supplied sample was opened, saved, closed and reopened in Microsoft Excel for Mac 16.113.3; other applications have not been checked.

The Professional licence lets you put results, tables and charts from your own inputs into client reports. Keep the original workbook, report and annex within the licensed users; do not distribute those files, whether blank, filled or modified.
